You’ve probably heard our name iVisa. Maybe from a friend who used it before a trip, or from a search result while trying to figure out whether your destination requires a visa. Before you click “Get started!", we want you to feel completely confident. Here is a clear look at how we work for you, because you deserve to know exactly what to expect at every step.
What we actually are
Founded in 2013, we are a travel document platform that helps travelers understand and complete visa and travel authorization applications. It supports travelers across multiple countries and languages, combining technology with human support to help applicants navigate document requirements and application steps.
We simplify the complex by managing your entire application process. By professionally reviewing and submitting an error-free file on your behalf, we bridge the gap between you and the government, maximizing your chances of a smooth, fast approval.
Step 1: Search for your destination
When you land on the website, you start by entering two pieces of information: your nationality and your destination country. We use these to identify what travel documents, if any, you need for your trip.
Not every destination requires a visa. For some, citizens of certain countries can enter freely. For others, you need an Electronic Travel Authorization (ETA), a visa on arrival, arrival card or a full visa applied for in advance. We display the relevant options and tell you which ones we can help with.
This is a genuinely useful step. It’s a quick way to understand your requirements before committing to anything.
Once you begin the process, our smart online form guides you through only the questions that matter for your specific destination. Instead of navigating confusing government jargon, you’ll provide the essentials. Like personal details, passport info, and travel plans. In a clear, user-friendly format.
Why this matters:
- Prevision engineering: Behind the scenes, we automatically format your data to match the exact requirements of the destination country’s immigration system.
- Expert review: Our visa experts review your application to significantly reduce the chance of small mistakes that could lead to delays or rejections.
- Smart document uploads: You’ll be prompted to upload necessary files, such as your passport scan or photo. Don’t worry about the technicalities. We provide clear guidance on photo specifications to ensure they meet government standards on the first try.
Step 3: Review the requirements and fees
Near the end of the application, a summary of what’s involved in the total cost will be shown to you.
The first part is the government fee: the amount the destination country charges for the visa itself. The second is our service fee, charged for preparing, checking and managing your application. These are listed separately and clearly, so you can see exactly what you’re paying for.
We offer three flexible tiers tailored to your travel timeline. Whether you’re planning ahead or need a last-minute miracle, we’ve got an option for you:
- Standard: Perfect for travelers with plenty of time before their departure. It’s our most cost-effective way to ensure your application is handled with care.
- Rush & Super Rush: These are our Priority Tiers. When you choose these, your application moves to the front of our queue. Our team prioritizes your document for an immediate, expert review to get them to the government as fast as humanly possible.
Our advantage
While all timelines are based on government estimates, our “error-free” submission process is the secret to speed. By ensuring every detail is perfect before it reaches the immigration authorities, we help you avoid the common mistakes that delay or reject standard applicants.
Step 4: Pay and submit
Once the application is completed and documents are uploaded, you’re all set! We accept all major credit and debit cards, Apple Pay, and Google Pay. Our encrypted system processes payments securely. Additional payment methods including Klarna, PayPal, and iDeal, are coming soon.
After submission, the team reviews your application before it goes to the government. This internal check is part of what the service fee covers, a human review to catch formatting issues, missing fields, or document problems that could cause a rejection.
Victor Gimenez, Director of Customer Experience at iVisa shares: “One of the most common misconceptions is that iVisa simply forwards your information to the government unchanged. But our team reviews every application before submission. We’re looking for the kinds of errors, like a mismatched date, a photo that doesn’t meet specifications, a field left blank, that travelers often don’t catch themselves and that government systems will reject without explanation. That review step is where a lot of the value actually sits.”
Step 5: Wait for government processing
While the final decision always rests with the destination country’s immigration authority, you aren’t just waiting in the dark. We turn the “waiting game” into science:
- Data-driven estimates: We process thousands of applications every month. We leverage this massive database to provide you with highly accurate, real-time delivery estimates based on current government trends and seasonal shifts.
- Proactive government liaison: We don’t just hit send and hope for the best. Our team maintains active communication channels with government agencies. If your application hits a snag or takes longer than expected, we step in to follow up on our behalf.
- Total oversight: From the moment you submit until your visa is in hand, we are monitoring the timeline so you don’t have to. If there’s a delay, you’ll be the first to know, along with the steps we’re taking to resolve it.
We can’t command the government’s pace, but we use our experience to navigate it faster and more reliably than anyone else.
We’ll keep you updated by email as your application moves through the process. If the government requests additional information or documents, which happens occasionally, we will contact you with instructions.
The processing time estimates shown at the start are based on typical turnaround times for that visa type. They are not guarantees, and the terms are clear that approval decisions rest entirely with the government.
Step 6: Receive your visa
When your visa is approved, it will be sent to you by email. For electronic visas and ETAs, this is usually a PDF document or an approval reference number that you’ll need to present at the border; either printed or on your phone.
For some visa types, approval is linked directly to your passport number in the destination country’s system, meaning you don’t need to carry a physical document at all. Our confirmation email will specify exactly what you need to show at the border.
Is iVisa right for your trip?
That depends on the visa type, your timeline, and how comfortable you are navigating government immigration portals directly.
For electronic travel authorizations and visas on arrival, the government process is often available online. You can do it yourself. Our value is in the preparation, the error-checking, and the support layer it provides around that process.
If you’ve applied for an ETA before and found it straightforward, you may not need the service. If you’re applying for the first time, traveling to a country with a complex application process, or simply want confidence that your application has been reviewed before it goes in, it offers a practical way to reduce that risk.
The process is the same either way. The question is whether you want to support navigating it.
